Who we are

This website, weststreetsalisbury.co.uk, is operated by The Collicott Collection Ltd (company number 16728908), the data controller for Salisbury City Centre Cottage on West Street, Salisbury. We are registered with the Information Commissioner's Office (ICO). For any questions about your data, contact us at info@thecollicottcollection.com.

What we collect, and why

When you make a booking

Bookings are handled by Hospitable, our booking platform. Payments — whether by card, Apple Pay or Google Pay — are processed by Stripe, Hospitable's payment provider. When you book, they collect the details needed to fulfil your stay: your name, contact details, party size, payment information, and any messages you send us. We see your booking and contact details, but never your full payment card information — that's handled entirely by Stripe.

We use these details to:

  • Manage your booking, payment and any refunds under our Booking Terms & Conditions
  • Send you check-in instructions, including your temporary smart-lock access code
  • Activate your digital visitor parking permit (this needs your vehicle registration number)
  • Communicate with you before, during and after your stay

The legal basis for this processing is the performance of our contract with you, and our legitimate interest in running the property well.

We don't routinely collect sensitive ("special category") information. If you choose to tell us about accessibility or medical needs so we can help with your stay, we use that information only for that purpose, with your consent — and we're legally required to record details of any accident or incident at the property. Bookings must be made by adults (18+); where children stay as part of your group we hold only basic details such as guest numbers. The smart devices at the cottage (door lock and thermostat) generate basic usage records, which we use solely to manage stays and keep the property secure.

For bookings made via Booking.com, Vrbo or directly with us, we ask the lead guest to complete identity verification before arrival (a government-issued ID matched to a selfie). This is handled securely within Hospitable's booking system by their verification provider, with your consent captured in that process, for fraud prevention and the protection of the property — we never see or store copies of your ID documents ourselves. Airbnb bookings are excluded because Airbnb verifies guest identity on its own platform.

When you browse this site

This site uses Google Analytics to measure anonymised visitor statistics — how many people visit and which pages they read. It is configured in a cookieless, consent-friendly mode: it sets no cookies and stores nothing on your device (see Cookies below), and the data we see is aggregated and cannot identify you. Google processes this data underGoogle's privacy policy. The embedded booking widget is provided by Hospitable and operates under Hospitable's privacy policy; it may use cookies necessary to process your search and booking. If you unlock the guests-only guest book, we set a single functional cookie so you stay signed in for your stay — it contains no personal information.

Who we share data with

  • Hospitable — booking management and guest messaging
  • Stripe — secure payment processing
  • Salisbury parking services — your vehicle registration, solely to activate your visitor permit
  • Our cleaning and maintenance team — stay dates only, never your personal details beyond what's needed

We never sell your data, and we don't share it for marketing purposes.

Where your data is processed

Some of our service providers, including Hospitable and Stripe, may process data outside the UK. Where that happens, the transfer is protected by UK-approved safeguards — adequacy decisions, International Data Transfer Agreements or standard contractual clauses — so your data receives an equivalent level of protection.

How we protect it

We use appropriate technical and organisational measures to keep your personal data secure, limit access to those who genuinely need it, and have procedures in place to identify and report any data breach where the law requires it.

How long we keep it

Booking records are kept for six years after your stay, in line with UK tax and accounting requirements. Smart-lock access codes are temporary and expire at the end of your stay. Vehicle registration details are used only for your permit and are not retained beyond the booking record.

Your rights

Under UK GDPR you have the right to access, correct, delete, or restrict the processing of your personal data, to object to processing, to request portability, and to withdraw consent at any time where processing is based on consent. To exercise any of these rights, email info@thecollicottcollection.com — we'll respond within one month. If you're not happy with how we handle your data, you can complain to the ICO at ico.org.uk — though we'd appreciate the chance to put things right first, so please contact us before approaching the ICO.

Cookies

This site sets no advertising or analytics cookies, and shows no cookie banner because none is needed: consent is only required for optional cookies, and we use none — only the strictly necessary ones below. Neither identifies you, and neither is used for tracking.

  • wss_gb (our cookie) — set only if you unlock the guests-only guest book, so it stays open during your stay. Expires after 14 days.
  • Hospitable booking widget (third-party) — the embedded booking widget may set cookies necessary to process your search and booking, under Hospitable's own policy linked above.

Our anonymised analytics (Google Analytics) run in a cookieless consent mode with storage switched off — they set no cookies and store nothing on your device, which is why they don't appear in the list above and why no consent banner is required.

Our site also links out to third-party websites (booking platforms, local businesses, social media). We don't control those sites or their cookies — please check their own privacy policies when you visit them.
